# What happens when sources change

Questionnaires take time, and your policies don't stand still while you work
through one. If a source is updated — or your knowledge base changes, whether
through an import or an edit — ResponseHub tells you, and offers to bring the
questionnaire up to date.

It is an offer, not an obligation. Nothing is regenerated unless you ask for it.

## The refresh prompt

When something relevant has changed, a notice appears on the questionnaire
listing what's new: sources added, deleted, or restored, and approved knowledge
base items added, deleted, or restored.

From there you have two options, or you can ignore it entirely.

## The two options

| Option | Regenerates |

| **Regenerate un-approved Synced items** | Only items in Needs Input or Auto Answered. Approved answers are left untouched. |
| **Regenerate all Synced items** | Every synced item, approved ones included. |

Only [synced](/questionnaires/answering-questions/#sync) items are ever
regenerated. Anything you unsynced to answer by hand is left alone under both
options.

**Regenerating an approved item un-approves it:** When approved items are regenerated they become Auto Answered — or Needs Input,
if ResponseHub cannot answer them automatically — and have to be approved again.
Work you had signed off returns to your review queue.

## Which to choose

**Regenerate all synced items** after a large change: several policies updated at
once, or a batch of new knowledge base items imported. The material behind your
existing answers has moved enough that answers already approved may no longer be
accurate, and re-approving them is a smaller cost than sending out something
wrong.

**Regenerate un-approved synced items** after a few individual changes. You pick
up the new material for everything still in progress, without disturbing answers
you have already reviewed and signed off.

**Ignore the prompt** when the change has nothing to do with this questionnaire,
or is minor enough not to affect your answers. Carry on and finish the
questionnaire as it stands.
